User Management in StarMeUp

Effective user management is crucial for the smooth operation of any collaborative platform, and StarMeUp is no exception. As a powerful tool that fosters collaboration and recognition among community members, StarMeUp's user management features play a vital role in maintaining a thriving and evolving community.

In this article, we will delve into the realm of user management in StarMeUp, focusing on three key aspects: bulk and manual user loading, and account deactivation. These functionalities are essential for organizations seeking to manage their growing and dynamic communities.

Bulk User Loading

StarMeUp's bulk user loading capability empowers organizations to save time and effort by adding, modifying, or removing multiple users in a single step. This streamlined process facilitates the onboarding of new members and the updating of information for existing users.

Two Options for Bulk User Loading:

  1. Download Bulk File Template:

StarMeUp provides a CSV-formatted file template that must be used for loading users. This file contains the necessary fields for each user, such as name, surname, ID or email, along with other customizable fields tailored to the organization's needs.

To access the template, navigate to the administrator panel, select "User Management," then "All Users," and finally click on the "Download Bulk File Template" button.

TIP: Remember that StarMeUp files are downloaded in CSV format. To view the file correctly, select column A, go to the Data button, and choose the "Text to columns" option with "Comma" as the delimiter.

  • Filling in User Information:

Accurate completion of mandatory fields for each user in the downloaded CSV file is crucial. These fields typically include basic information such as name, email address, and affiliation. Ensuring the accuracy of these fields is essential for maintaining a clean and organized user database.

The first column of the downloaded CSV file is typically labeled "command" and serves a critical purpose. This column indicates the action to be performed for each user record. By specifying the appropriate command (I for Insert, D for Delete, or U for Update) in this column, organizations can instruct StarMeUp on how to process the user information.

Command Options:

  • I (Insert): Use this command to add new users to the StarMeUp platform.

  • D (Delete): Use this command to remove existing users from the StarMeUp platform. This is particularly useful for users who are no longer affiliated with the organization.

  • U (Update): Use this command to modify or update the information of existing users. This allows organizations to keep user data current and accurate.

Remember to Preserve Column Names

Once the CSV file containing user information is complete and verified, it can be uploaded to StarMeUp using the "Bulk Upload" feature. This process allows for the simultaneous addition, removal, or modification of multiple users, significantly streamlining user management tasks.

2. Downloading the User List:

It is important to note that the StarMeUp administration panel supports bulk uploading of users using files in CSV format. To update users or make subsequent modifications, you can download the current user list, edit the necessary information and then upload the updated file via the "Bulk Upload" action.

Note: It is recommended to make a backup copy before each download to avoid loss of information

Massive Actions

Bulk actions in StarMeUp allow you to perform batch operations on users uploaded in the CSV file. These actions can be of three types: user registration, user modification and user cancellation. Below are the steps for each one:

  1. User Registration: To add a new user, simply add a new row in the CSV file with the corresponding information, such as their email, ID, first name, last name, etc.

  2. User Modification: If specific information is required to be updated for one or more users, you can edit the related field in the corresponding user row within the CSV file.

  3. User Deletion: If you want to disable a user and eliminate their access to StarMeUp, simply delete the row corresponding to that user in the CSV file. When disabled in StarMeUp, the user will no longer be available for search on the platform and will appear grayed out in the users section.

The administration panel maintains a list of the files entered, where relevant information is displayed such as the name of the file, the user who entered it, the date of entry and the status of the file. If you want more details about the actions performed on a specific file, you can access the "Details" option which will show the number of users updated, disabled, created, processed and rejected, along with the location (row in the file) and the type of operation performed for each user.

Loading users manually:

Creating users manually is also very simple and for this you must go to the Administration button > User Management > All Users > New User > Manual Load, remember to fill out the fields that are being completed in the database,

Important: Keep capital letters and accents when filling in the spaces so that your database is as good as possible.

Deactivate Users

Deactivating users is an important operation to maintain the integrity and security of the StarMeUp community. When a user is deactivated, they lose the ability to log in and no longer appear in the general StarMeUp search engine so that their colleagues can view their profile, send them recognition, etc.

There are two ways to deactivate users:

Individual Deactivation from the Administration Panel:

Click on the administration menu option User management --> "All users" and the list of all users loaded in the organization will appear there.

Find the user to deactivate and click on the 'status' toggle. When the toggle turns gray, the user was deactivated.

Some considerations related to user deactivation.

If the user to be deactivated belongs to a group, take the following into account:

  • It is automatically left out of the group to which it belonged, but if the user activates again and that happens within a time window defined for the community then the user returns to the group again.

  • If the user activates again and is not within the time window, they are permanently excluded from the group.

If the user to be deactivated has established leadership relationships, when the user is deactivated the leadership relationship is terminated. If the user is activated again, their relationships are terminated and must be manually defined again.

Deactivation from Mass User Loading:

As we mentioned before, by deleting the row corresponding to a user in the CSV file and performing a bulk upload, said user will be disabled in StarMeUp.
